Job Applicants & People Who Join Our Talent Network

 

Rotam CropSciences Limited and its affiliated companies (together as “Rotam Group”, “we”, “us”, or “our”) is committed to protecting your personal data privacy during the recruitment process. We outline in this policy our practices concerning our collection and use of your personal data, as well as your rights in regards to the same.  This policy may be updated from time to time, the latest version of which will be published here.

 

What information do we collect?

When you apply or inquire about job vacancies or join our talent network through this website, we may collect a range of information about you. This includes:

  • your name, address and contact details, including email address and telephone number;
  • details of your qualifications, skills, experience, employment history and preferences about location/job function/job level;
  • information about your current level of remuneration, including benefit entitlements;
  • information about your entitlement to work in the country of the job you are applying for.

We may collect this information in a variety of ways. For example, data might be contained in application forms, CVs or resumes, obtained from your passport or other identity documents, collected through interviews or other forms of assessment, or when filling out the form for joining our talent network.

We may also collect personal data about you from third parties, such as references supplied by former employers. We will seek information from third parties only with your permission and will inform you that we are doing so.

Data will be stored in a range of different places, such as our HR management systems or other IT systems (including email).

 

Why do we process personal data?

We have a legitimate interest in processing personal data during the recruitment process and for keeping records of the process. Processing of personal data you submit to us from job applications, when joining our talent network, or when you make other inquiries allows us to manage the recruitment process, assess and confirm your suitability for employment and make employment decisions. We need to process data to be able to contact you or to be able to enter into a contract with you. In some cases, we need to process data to ensure that we are complying with our legal obligations. For example, it is mandatory to check a successful applicant’s eligibility to work in some countries before employment starts.

 

Consent to international transfer of personal data

Please note that all job applications, data submitted by you when joining our talent network, or any other inquiries submitted here will be sent to our corporate headquarters in Hong Kong or elsewhere in the world where your job vacancy is situated, and the laws that protect personal information there may differ from the laws where you live. We will take reasonable steps to ensure that your privacy is protected. By sending us your job application, joining our talent network, or making any other inquiries with us, you give us consent to transfer your data outside of your country.

 

Who has access to this data?

Your information may be shared internally for the purposes of the recruitment process. This includes sharing information with members of our Human Resources team to handle your application, managers in the department of the relevant job vacancy and IT staff if access to the data is necessary for the performance of their roles.

We will not share your data with third parties. However, if your application for employment is successful and we make you an offer of employment, we may then share your data with third parties such as a payroll provider in order for us to pay your salary or benefits accordingly.

 

How do we protect your data?

We take the security of your data seriously. We have internal practices in place to ensure that your data is not lost, accidentally destroyed, misused or disclosed unless there is a legitimate need for such disclosure.

 

For how long do we keep your data?

If your application for employment is unsuccessful, the organisation will hold your data on file for 6 (six) months after the end of the relevant recruitment process. If you agree to allow us to keep your personal data on file, we will hold your data on file for a total of 12 months for consideration for future employment opportunities. At the end of that period, or once you withdraw your consent, your data is deleted or destroyed. You will be asked when you submit your CV whether you give us consent to hold your details for the full 12 months in order to be considered for other positions or not.

If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your Human Resources file (electronic and paper based) and retained in accordance with the applicable laws at the place of your employment.

 

Your rights

As a data subject, you have a number of rights. You can:

  • access and obtain a copy of your data on request;
  • request to change incorrect or incomplete data;
  • request to delete or stop processing your data, for example where the data is no longer necessary for the purposes of processing; and
  • object to the processing of your data where we are relying on legitimate interests as the legal ground for processing.

If at any time you would like for us to stop contacting you regarding job offers, or you would like to exercise any of the above rights, you may send your request to recruitment@rotam.com.

If you believe that we have not complied with your data protection rights, you can contact our Legal Department at dataprivacy@rotam.com, or lodge a complaint to the data privacy commissioner in your country.

 

What if you do not provide personal data?

You are under no statutory or contractual obligation to provide data to us during the recruitment process. However, if you do not provide the information, we may not be able to process your application properly or at all.
